Venue Finding Hints and Tips

When planning a child’s party, the venue is the most fundamental aspect, so please contact A Perfect Party to discuss what type of venue will be best for you.

When choosing a party time – younger children are generally better at a lunchtime party and older later afternoon. We suggest a party 11-1pm or 3.30-5.30pm as this is in line with natural eating patterns.

 

Early evening or morning are ideal party times for makeovers at a slumber or sleepover party.

 

If in doubt please ask us we will be happy to help. Below are a few considerations for selecting the right place to hold your party.

Parties held at Home

Is my home large enough?

We can adapt most parties to fit the space you have. We can alter the selection of games to suit the party area. Some clients choose to use their floor space for eating party food instead of using tables and chairs, they put down a large rug or table cover and children treat it as an indoor picnic.

Garden Parties

British weather is unpredictable to say the least – you may have a beautiful large garden ideal for a party on a sunny day but you need a back up plan for when the party day dawns and its pouring with rain!!.

Even sunshine poses its problems from children getting overheated in costumes, to the need for sunscreen and hats, plenty to drink and problems with hayfever and allergy sufferers being miserable.

We will not take our electrical equipment outdoors – we know from experience that it can be fine one minute and then when the rain comes – moving PA equipment, wiring, and 20 children inside is not only difficult – its also quite dangerous and can make a well planned party turn into a disaster.

Please note if you choose to have an event outdoors, make sure fully waterproof shelter is available for the electrical equipment within easy access and ears reach of the garden and the children. Getting electrical cable to the shelter is also a consideration e.g. how far is the waterproof marquee from the house – we still need to get power there!!

If hiring an inflatable - please ensure that this is deflated during our entertainment time or in an area away from the entertainment – no matter how good an entertainer is - a large bouncy slide within view disrupts the flow of the party and soon the group breaks up.

A Perfect Party are there to entertain so the hazards in your garden need adult supervision – from pools to hot tubs, to trampolines and swings and climbing frames.

If you want us to reinforce any ground rules please inform us ahead of your party starting.

Parties held in a Restaurant

Many restaurants are willing to cater for children’s parties. If you choose a venue with a separate function room, usually downstairs or at the back it makes the set up of the party straight forward so that no other guests are disturbed. For most disco based themed parties we will use PA equipment, lighting etc.. so there needs to be enough room for the children to play and dance along with electrical sockets.

The Restaurant will usually take care of the food, tables, chairs and tableware, leaving the entertainment, décor and party extras for you to organise.

A Perfect Party can supply décor, helium filled balloons, party bags and themed tableware to incorporate your theme and make it look like a child’s party. e.g. if you would like princess napkins, princess themed table runner, table confetti  and plates please remember to ask your venue not to lay the table beyond the linen cloths. They often lay glasses (as they are geared to adult functions) but for children its not ideal – so why not serve bottled drinks or let us supply themed paper/plastic cups.

If you are taking advantage of our ‘party fairy service’ – laying tables etc at your restaurant ahead of the party then please ensure you inform the venue that we will need the tables in position and access at least 1 hour before the party starts – sometimes more.

Please note that having a set menu pre decided upon before the party is recommended so that orders do not need to be taken during the party which can take up to half an hour to get around 30 young children.

Also ensure that there is enough room for the parents to be seated around the perimeter of the party room or within easy access of their children if they are under 7 years old.

Hotels, Health Clubs and Conference Centres

Depending on your budget and availability of the chosen venue, one of the above options can make the planning and preparing of your event a lot easier. 

A great advantage to using a venue of this sort, is that they usually take care of the party food on site, as well as the cleaning up of the space.  All you would need to organise is the entertainment, decorations and any extras you may possibly want to make your event special which we at A Perfect Party can supply. Such venues are also extremely flexible combining a great space, usually in various sizes that can be easily divided by partitions, together with beautiful surroundings for all occasions. They also cater for adult food exceptionally well. You may need to remind them though that children’s buffets need not be as complicated as adult conference buffets – so please discuss the children’s menu with them. (Your children may eat anything but lots don’t and food is often better to be simpler for children to avoid waste).

Please bear in mind when booking a room of this type the considerations are similar to when choosing a restaurant (please see above for our tips).

 

If you can provide a contact point for us before and during the party at the venue we can liaise with them ahead of schedule to ensure the event runs as smoothly as possible.

Parties at Village/Church Hall/Community Centre

Local Halls are usually less expensive ranging from £30.00-£150.  Halls could include Scout Huts, Church Halls, Nurseries, Schools, Community Centres, Sports Clubs to name but a few. These kinds of venues usually have adequate kitchen and toilet facilities, ample parking, tables and chairs and lots of open space to work with (sometimes an outside area too).

Please note that all local halls expect you to leave the hall as you found it. With any venue décor needs to be considered ask for their requirements for décor to be attached to walls or ceilings E.g. can you use tape, blu tack, hooks, all helium balloons need to weighted and not tied to chairs.

 

Party Food

At halls you can choose to supply your own, get deliveries from a local caterer or order ahead from one of the major supermarkets or M and S who do food platters.

We can supply all you tableware and decorations, balloons, prefilled party bags  at a reasonable cost. Please complete the party planning questionnaire for a full quotation. We are competitively priced in line with online retailers, do not make any charge for delivery and make your party a one stop shop. You choose as much or as little as you want and we can take care of it for you. You can let us supply the goods and bring along on the day for your to use or we can decorate for you its up to you.

Please ensure we have a minimum of 1 hour set up time ahead of the party start and around 45 minutes afterwards.

We recommend a table near the door for presents, a table to display your cake, food tables be in a long row, L or E shape near to the kitchen/serving hatch. Chairs be placed around the perimeter for adults and please politely ask them to chat quietly so that the children can hear what your entertainers are saying.

We need a power socket, a decent uncluttered space for games and dancing, curtains or blinds are a consideration if you want the children to see party lighting too.
